ResponsibilitiesLeadership Duties
- Maximizes clinic and team efficiency, productivity and teamwork of Mohs medical assistants and histology technicians by providing daily communication, supervision and direction in concordance with company philosophy, goals, and objectives.
- Leads monthly department meetings (more frequent if needed) and ensures that time is productive.
- Acts as a resource for trouble shooting process or equipment and electronic health record issues as they arise.
- Meets weekly with shift leaders to discuss and resolve departmental issues, brainstorm process improvement and work flow efficiency initiatives, and develop action plans for implementation of approved proposals. Provides minutes to Regional Clinic Coordinator and Regional Clinic Manager.
- Ensures the clinic overhead is within budget
- Maintains clinic supplies and does not overstock or order wasteful things
- Manages Overtime costs
- Manages critical pay and or alternate clinic coverage costs
- Manages turnover costs
- Manages training cost
- Manages extra time costs
- Addresses providers needs
- Staff work schedules, PTO, and payroll
- Creates and/or reviews all clinical and reception staff work schedules and manages changes requested by staff or required to optimize clinic flow.
- Ensures preliminary schedules are created a minimum of three months in advance.
- Ensures final work schedules are posted two full pay periods in advance.
- Approves PTO requests, maintaining adequate staffing levels on a daily basis.
- Reviews timesheets ensuring integrity of staff punches and approves hours for biweekly payroll processing.
- Receives call-ins from all direct reports and arranges coverage of open shifts.
- Assists with employee recruitment, selection, and hiring processes for all Mohs MAs and histology technicians.
- Leads new employee onboarding and training to ensure adequate skill set and adherence to all department policies and procedures.
- Assists with addressing medical staff performance issues and completing annual staff performance evaluations per company policies.
- Maintains inventory of clinic supplies, including all medical, office and cosmetic supplies necessary for patient care. Completes or reviews PO before sending to Regional Clinic Manager for signature.
- Provides regular updates to Regional Clinic Coordinator and Regional Clinic Manager on pertinent clinic and or central service issues.
- Completes all daily, weekly, monthly and quarterly assignments according to deadlines.
- Responsible for all phone messages, faxes, interdepartmental mail (if clinic is non remote) is addressed immediately.
- Responsible for attaining prior authorizations and maintaining a system to track from start to finish.
- Provides training and supervision to all new staff and ongoing training for existing staff including but not limited to corporate compliance (i.e. OSHA, HIPAA, Laser Safety) annual completion.
- Prepares for and participates in CLIA surveys
- Acts as a role model and subject matter expert for policies and procedures set in place by management, as well as working with new software or equipment.
- Call for necessary repairs for clinic/equipment and communicate with Regionals as needed.
Mohs Medical Assistant
- Assists Mohs surgeon during procedure according to prescribed standards. Assists and anticipates the needs of the surgeon including Biopsies – punch, DIF & shave, Excisions, Electrodessication and curettage, I&D, & Mohs.
- Sets up procedure room according to prescribed standards.
- Dress and provide wound care instruction for the surgery site.
- Takes appropriate photographs of Mohs stages. Label and organize photograph.
- Handles specimens for pathology according to prescribed standards.
- Assist in procedure room maintenance, including case preparation, room turnover, and instrument processing.
- Prepares the patient prior to the procedure; obtains and reconciles medical and surgical history, accurate list of medications and allergies. Documents appropriately in EMR.
- Educate patients on treatment plans, expectations, and post-operative instructions.
- Sterilization and aseptic technique:
- Demonstrated expertise in safety principles, asepsis, sterile technique and universal precautions
- Knowledge of and ability to disinfect, clean and sterile surgical instruments, equipment and supplies
- Knowledge of or experience in equipment, such as ultrasonic cleaner and autoclaves. Understand of the processes to maintain the autoclave
- Other responsibilities include, but are not limited to:
- Compiles and prepares surgical packs. Runs autoclave as needed
- Assist with inventory and storage of equipment and supplies as well as cleaning the procedure rooms
- Performs medical assistant duties as required for non-Mohs patients, as part of the dermatology practice
- Directly responsible for scheduling patients and manages the MOHS surgery schedule
- Provides post procedure care including surgical dressing changes and assisting with suture removal
- Logs surgical procedures as needed
- Relay pathology and laboratory results to patients
QualificationsEducation
- Minimum Post High-school education in a medical support field such as Certified Medical Assistant, Registered Medical Assistant, Certified Surgical Tech or Licensed Practical Nurse is strongly preferred.
- Must hold current certification/licensure and must maintain certification/licensure throughout employment.
Knowledge, Skills and Abilities
- Must be detail oriented.
- Must have excellent communication skills and the ability to communicate effectively orally and in writing.
- Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
- Proficiency with Microsoft Word, Excel and PowerPoint is required. Must be able to learn new software quickly.
- Must possess excellent leadership, organizational, and computer skills.
- Ability to work effectively and cooperatively with staff, board, clients, and the public.
- Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
- Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
