Summary
The Patient Care Coordinator will provide a superior level of patient support and education, marketing support, administrative support, customer service and an elevated facilities experience. This role will be medical aesthetic focused and within our Timeless Skin Solutions, a DOCS affiliate, new location.
Job Responsibilities
Patient Experience
- Complete patient appointment tasks including tagging, taking and filing patient photos, and uploading patient paperwork into the EMR.
- Inform and educate patients on procedures and skincare.
- Exhibit professionalism when speaking with patients both on the phone and in person. (both wording and tone).
- Maintain clear and consistent communication with the provider team.
- Answer all patient communications in a timely manner and direct them appropriately.
- Manage the patient schedule with a strategic mindset for booking, cancellations, modifications and waitlists.
- Proactively adjust the patient schedule to maximize provider utilization and patient satisfaction.
- Maintaining cleanliness of the office space and treatment rooms.
- Stock retail skin care products.
- Communicate procedural issues and workflow concerns to direct manager.
- Meet with providers daily.
- Credential the practice, providers, and estheticians.
- Ensure the highest level of Patient Experience is upheld throughout the entire patient encounter.
Record Keeping and Medical Record System
- Document patients’ medical concerns and track medical escalations.
- Assist with resolving EMR related issues.
- Document all patient encounters and ensure that the patient’s record and information is up to date.
- Complete end of day reporting
Sales
- Financial open and close of office including making end-of-day deposits.
- Appropriate selling of products to meet sales goals.
- Make treatment and product recommendations that are appropriate for the patient.
- Maintain lead conversion goals for initial inquiry patients.
Privacy
- Comply with HIPAA law.
- Keep business practices and policies confidential.
- Maintain strictest confidentiality.
Minimum Qualifications
- Bachelor's degree or 1-2 years of experience in a comparable setting.
- Proficiency in Microsoft applications – Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Reader.
- Adhere to office guidelines and protocol.
- Effective communication, both orally and in writing.
- Sales experience preferred.
Physical Demands
- Employees may be regularly required to sit, talk, hear, and use hands and fingers to operate a computer, telephone, and keyboard while performing the duties of this job.
- Must be able to lift 20lbs.
