Overview:
The Marketing & Events Coordinator supports the Marketing Manager and Cosmetic Sales Manager in executing daily marketing initiatives, cosmetic administrative tasks, and event logistics. This role is essential for maintaining consistent branding, coordinating new provider onboarding, creating engaging content, managing social media, and providing crucial administrative support to enhance patient engagement and provider support.
Responsibilities:
Marketing Administrative Support:
- Provider Onboarding: Schedule and coordinate headshots, order branded merchandise, and manage communication through various tools for seamless new provider onboarding.
- Brand Consistency: Ensure cohesive branding across all materials, such as provider rack cards, brochures, mailing materials, and digital assets.
- Content Creation: Develop QR codes for campaigns, monitor and update Patient Point, resize/upload promotional flyers for TV displays in waiting and exam rooms. Also, assist in creating engaging blog content based on provided topics.
- Communications: Send broadcast messages using various tools, create marketing content with Canva (following brand guidelines) for promotions, announcements, and lobby signage.
- On-Site Engagement: Conduct regular location visits to gather content (photos, videos, testimonials) and engage providers for marketing initiatives.
- Digital Marketing Support: schedule and post content on Instagram, Facebook (Meta Suite). Monitor social media channels for comments and messages and engage with followers.
- Support the Marketing Manager: Manage ad hoc projects as assigned
Cosmetic Administrative Support:
- Complete annual price updates: Obtain current order forms from vendors and update pricing in systems semi-annually.
- Alle Monthly Reporting: Pull expiring points, current promotions and leads by location and export list.
- Supply Ordering: order SWAG items and supplies for upcoming events (reference event checklist in Monday.com).
- Post Event Report Out: Pull reports following any event days (money collected, packages sold, and retail sold) to determine success of promotion and samples needed from vendors.
- Market research: Contact clinics within our area to compare service line pricing and ensure we are aligned with current market trends (semi-annually).
- Support the Cosmetic Sales Manager: Manage ad hoc projects as assigned
Event Coordination:
- Cosmetic & Community Event Projects: Assist in planning, organizing, and executing events such as open houses, service launches, community events, and conferences. Includes set up and break down of select events across the organization. Main point of contact/coordination for Oregon events & support of Washington events as assigned.
- Event Support: Transport event materials, pick up supplies, help set up décor and gift bags, and provide on-site support during events.
Administrative & Project Support:
- Provide general administrative support to the marketing and sales department as needed.
- Other duties as assigned.

Education and/or Experience:
- High School diploma, general education degree (GED); OR Equivalent training experience preferred.
- Minimum of 2 years’ experience in the healthcare industry preferred.
- Knowledge and skills in design, development, and coordination of marketing materials is preferred.
- Basic Knowledge of all applicable regulations that pertain to this position is required.

- Proficient at multi-tasking and meeting deadlines.

- Social Media Proficiency: Adept at using Instagram, Facebook (Meta Suite), and TikTok for content creation and engagement.
