Job Summary: The Laboratory Coordinator is responsible for supporting laboratory operations through specimen intake, administrative duties, data entry, transcription, and general lab maintenance. This role does not involve performing technical laboratory duties but is critical to maintaining the efficiency of lab processes. The Lab Coordinator is expected to adhere to all Standard Operating Procedures (SOPs) with attention to detail, accuracy, professionalism, and a strong commitment to compliance and safety.
Schedule: Full Time, 30+ hours. Monday to Friday 9:00am – 5:30pm.
Laboratory Coordinator:
- Receive laboratory specimens from couriers.
- Review specimens for proper labeling and acceptability.
- Resolve labeling discrepancies according to SOPs.
- Sort specimens for in-house processing or send-outs based on insurance coverage, provider preference, and case type.
- Accession specimens into the Laboratory Information System (LIS).
- Prepare cases for reference laboratories and confirm daily pickups.
- Dispose of biohazard and hazardous waste in accordance with policies and regulations.
- Maintain a safe and clean work environment, adhering to all OSHA, CLIA, and company-specific protocols.
- Lab Coordinator is responsible for assisting in all customer inquiries related to but not limited to:
- Assist with inquiries related to:
- Missing or delayed pathology reports.
- Modifications to orders, requisitions, or reports.
- Requests for slides or blocks for consultations and second opinions.
- Investigate and resolve lab-related inquiries, including cases processed both internally and at reference laboratories that come in the form of phone calls, voicemail, ModMed/EMA tasks, email and support tickets (via Fresh Desk)
- Provide data entry support to Pathologist(s).
- The Lab Coordinator will receive diagnostic codes and/or additional test orders from the pathologist.
- Codes and orders will be shared by the pathologist either verbally or handwritten on pathology requisitions.
- The Lab Coordinator will enter the orders into the LIS for the other team members to access and process.
- The Lab Coordinator will enter the diagnostic code(s) and associated billing code(s) into the LIS to produce a macro, a paragraph of diagnostic information.
- The Lab Coordinator will close the case which will add the case to the queue for the pathologist to sign-out.
General Laboratory Duties:
- File and retrieve histology slides and paraffin blocks following laboratory protocols.
- Maintain an organized filing system for easy access and retrieval.
- Assist with archiving and tracking slide and block locations.
- Keep workstations, lab benches, and equipment clean and organized.
- Dispose of biohazard waste properly and restock cleaning supplies.
- Clean and disinfect lab equipment and ensure compliance with safety regulations.
- Maintain inventory, restock lab supplies, and put away shipments upon arrival.
- Assist in audits, quality control (QC), and compliance-related tasks as needed.
Qualifications:
- High School Diploma/GED minimum required; Associate degree preferred
- Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook with strong communication, interpersonal, and organizational skills with six months experience in a similar role.
- Training and a post training assessment for all role-applicable SOPs and Laboratory Compliance workflows must be completed after hire but before any laboratory work can be completed independently. A competency assessment will occur at one month before independent work is permitted. Role specific SOPs and Laboratory Compliance workflows are outlined in the Pathology Training Program Smartsheet.
- Employee is expected to be in their office(s) during the week. Employee may be expected to travel up to 25% or less of their time from their home office. Other travel outside of their region and/or to the corporate office may be needed from time to time.
Hourly Pay Rate: $15 - $18.50
