Job DetailsJob Location: Dallas-Corporate - Dallas, TX 75230Position Type: Full TimeU.S. Dermatology Partners is seeking an Corporate Administrative Assistant with outstanding administrative, organizational and communication skills to join the Human Resources Department and provide administrative support to ensure efficient operation of the office. The Corporate Administrative Assistant must be reliable and should accurately follow instructions with the ability to multitask and acclimatize in a fast-paced environment. To ensure success, theyshould display conflict management and decision-making skills with the understanding of the importance of confidentiality.
Duties and Responsibilities:
Assist with day-to-day operations of the corporate office, HR functions, and duties assigned
Provide clerical and administrative support to the HR team (HRBP’s, HR Managers, Recruiters and CPO)
Greets and provides general support to visitors onsite Monday-Friday (8:00AM-4:30PM).
Pick-up, sort, and deliver incoming mail/packages to corporate office employees.
Schedules meetings and appointments in home office conference rooms. Includes setting up lunches in conferences as needed, and ensuring conference rooms are cleared of food, beverages and paper after meetings.
Assists with home office employee engagement events.
Support with expense reporting for HR/Corporate Office supplies, events, and maintenance.
Compile and update employee records (electronically)
Keep up to date with the latest HR trends and best practices
Assist with the recruitment process by identifying candidates, performing reference checks, and issuing employment contracts if needed
Answers and directs phone calls
Orders and maintain inventory of breakroom and office supplies.
Corresponds with vendors regarding regular scheduled maintenance. This role will be the point of contact for office maintenance and vendors.
Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.)
Adheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service
Performs other duties that may be necessary or in the best interest of the organization
QualificationsExperience Requirements
4-year/ Bachelor’s degree required
Valid Driver's License
Previous HR experience preferred, but not required
Familiarity with HRIS preferred, but not required
Basic knowledge of labor laws
Previous customer service experience or basic administrative experience, preferred
Works well under pressure and meets tight deadlines
Highly computer literate with capability in email, MS Office and related business and communication tools
