The Cosmetic Suite Supervisor will lead, guide, and supervise the Medical Assistant staff to ensure safe and effective quality patient care in an efficient and productive manner. The Clinical Supervisor supports practice leadership in the day-to-day clinical operations and management of practice.
Responsibilities
Duties/Responsibilities:
- Participates in interviewing, hiring and training of new Medical Assistant team members
- Provides timely, objective feedback to the Medical Assistants regarding performance expectations and follows up to ensure compliance.
- Oversee the day-to-day operations of the cosmetic suite, ensuring an exceptional patient experience and efficient workflow.
- Lead, coach, and support cosmetic staff while maintaining clear performance expectations and a positive, collaborative work environment.
- Organize patient flow.
- Partner closely with cosmetic providers, practice leadership, and clinical teams to support daily operations and overall growth of cosmetic services.
- Respond to patient questions in office and on phone as instructed.
- Drive cosmetic revenue by identifying opportunities to increase patient engagement, treatment bookings, retention, and utilization of available services.
- Monitor key performance indicators, including cosmetic revenue, treatment volume, scheduling utilization, patient retention, and other operational goals.
- Support the patient consultation and treatment journey, ensuring patients receive timely follow-up and a high level of service from initial inquiry through post-treatment care.
- Develop and implement strategies to promote cosmetic treatments, products, events, packages, and special promotions.
- Educate and coach staff on cosmetic services and products to ensure they can confidently communicate available offerings to patients.
- Oversee cosmetic product and supply inventory, including ordering, tracking, and maintaining appropriate stock levels.
- Ensure all phone messages, faxes, and interdepartmental mail are addressed in a timely manner.
- Must maintain HIPAA compliance
- Other duties assigned as deemed necessary by management.
Qualifications
Required Skills/Abilities:
- Able to triage patient problems.
- Be familiar with and compliant OSHA/HIPAA, infection control & Blood Borne Pathogen Standards.
- Knowledge of medical terminology, CPT and ICD-10 codes.
- Knowledge of office financial policies.
- Basic computer skills and experience in EMR utilization.
- Able to operate standard office equipment (i.e. computer, fax, copier, scanner, etc)
- Excellent verbal and written communication skills.
- Fluent in English
- Ability to function well in a high-paced and at times stressful environment.
- Ability to work in an effective, cooperative, and courteous manner with staff, patients, and visitors.
- Must be able to travel to satellite offices as needed
- Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team
- Ability to read, understand and follow oral and written instruction.
- Ability to spell, sort and file materials correctly alphabetically or numerically.
Licensure/Certifications/Education
Education and Experience:
- High School Graduate or GED
- Certified/Registered Medical Assistant
- CPR certified
- Graduation from an accredited Medical Assistant program
- Minimum of 3 years of work experience as a Medical Assistant
- Supervisory experience preferred.
- Previous experience in Dermatology is preferred
Physical Requirements:
- Standing and walking for extended periods of time
- Moderate amount of talking, bending, twisting, reaching, and balancing.
- Use of hands and fingers.
- Talking and listening in person and on the telephone.
- Handling of materials such as paper, supplies, etc.
- Lifting and carrying up to 30 pounds.
- Risk of exposure to infectious organisms and the possibility of injury due to chemicals and sharp objects.
