Responsibilities
The Executive Assistant provides high-level support to the Chief Executive Officer (CEO) and other members of the Executive Team. This position will support the CEO 50% and the Executive Team 50%.
Duties/Responsibilities:
- Provides high-level administrative support and assistance to the CEO and/or other assigned executive staff.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
- Keeps the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Leads planning and execution of executive and organizational events, including annual conferences, regional meetings, town halls, board meetings, and leadership dinners.
- Arranges travel and accommodations for executives.
- Organizes and prepares for meetings, including gathering documents and attending to logistics of meetings.
- Attends meetings with, or on behalf of executives, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of executive staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks including maintaining records, and ordering supplies.
- Other duties assigned as deemed necessary by management.
Qualifications
Required Skills/Abilities:
- Strong interpersonal and communication skills to effectively communicate with executive and other senior staff.
- Exhibits exceptional attention to detail and ownership, with the ability to anticipate needs and ensure seamless follow-through on all initiatives.
- Excellent analytical and problem-solving skills.
- Proficient with Microsoft Office Suite and related software.
- Excellent organization and time management skills.
- Knowledge of and compliance with HIPAA standards.
- Ability to plan, organize, prioritize, and execute sound judgement.
- Ability to act with integrity, professionalism, discretion and to maintain confidentiality.
- Ability to work full-time, on-site at the Corporate Office.
- Ability to travel 10%.
Licensure/Certifications/Education
Education and Experience:
- High School Diploma required; Bachelor’s degree in Business Administration or related field preferred.
- At least five (5) years of related experience required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Full time employees (defined as regularly working at least 30 hours per week) are eligible for the following benefits:
- Compensation: $65,000-$85,000
