Coordinates daily functions of the Scheduling Department of busy medical practice, including assigning tasks, coordinating work schedules and training the Scheduling team. Also, schedules appointments and performs various clerical duties to assist patients and clinical staff in providing patient care by performing the following outlined below.
SECTION 2: Duties and Responsibilities (Responsibilities necessary to accomplish job function
Coordinates Scheduling department functions to ensure the department is functioning as directed and is administered in accordance with regulations and policies and procedures.
Coordinates work schedules and workflow of the department by assigning duties and tasks as directed by the Scheduling Supervisor, to include other duties and tasks not defined on the Scheduler job description.
Updates Scheduling Supervisor on the performance status of the department.
Coordinates and performs in-services utilizing approved resources for support, in addition to orientation and training of new employees, and follow up training as directed.
Schedules all appointments for providers in computer, except Mohs surgery patients.
Verifies all pertinent patient demographic information in computer system, including insurance information.
Confirms patients’ appointment and answers incoming questions about appointments.
Instructs patients in locations and directions.
Enters appropriate data into computer, retrieves data, prints reports.
Answers telephone, and directs patients, salespeople, and visitors to the correct telephone extension, takes messages as needed
Adheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.
Performs other duties that may be necessary or in the best interest of the organization.
Directly supervises employees in the Scheduling department.
• Carries out supervisory responsibilities in accordance with the organization's policies and
applicable laws.
Responsibilities include making sure all employees have arrived for the day, training employees, planning, assigning, and directing work; addressing complaints and resolving problems, notifying
the supervisor of any performance issues or direct violations of company policy, tracking and monitoring call statistics through reporting and quality analysis, and sharing those statistics with
your team.
Supporting the team by being active in all queues when no other duties are assigned.
QualificationsSECTION 5: Experience Requirements
Minimum one year of work experience in a medical office.

Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations

Mathematical and/or analytical ability for basic to intermediate problem solving
Basic to intermediate computer operation
Proficiency with Microsoft Excel, Word, and Outlook

Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines
