Skin & Cancer Center of Arizona is seeking a highly organized, compassionate, and service-driven Patient Access & Communications Specialist to oversee our patient communication systems and help ensure every patient receives an exceptional experience from their first interaction with our practice through follow-up care.
This is a key leadership support role that combines patient communications, operational coordination, and cross-departmental support to help ensure an exceptional patient experience and efficient daily operations.
This position is ideal for an experienced MA, LPN, or RN who enjoys patient interaction but is ready to transition from direct clinical care into an administrative role where they can have a broad impact on the patient experience.
Dermatology experience and proficiency with ModMed (EMA) and Klara will receive first consideration.

Responsibilities
• Manage all online patient portal communications through Klara, ensuring messages are responded to promptly, accurately, and professionally.
• Monitor and complete front office communication tasks as required, including patient reschedules, recalls, cancellations, and patient outreach.
• Serve as the primary point of contact for patient concerns and complaints, resolving issues professionally while ensuring patients feel heard, respected, and valued.
• Partner with front office leadership and management to improve communication workflows and the overall patient check-in experience.
• Take ownership of phone performance metrics, including call wait times, hold times, abandoned calls, and overall service levels, helping ensure patients receive timely assistance. Work closely with management to ensure appropriate staff phone coverage and efficient call handling throughout the day.
• Coordinate incoming referrals from local physician offices and healthcare providers, ensuring timely patient outreach and scheduling for general dermatology services.
• Ensure physician transcription letters and other required patient communications are completed accurately and on time.
• Assist with maintaining communication templates, workflows, and best practices within ModMed (EMA) and Klara.
• Serve as a backup for both front- and back-office operations as needed to support patient care and practice efficiency.
• Provide leadership support to the Practice Administrator and Clinical Operations Manager, assisting with overall day-to-day operations as required
• Help coach and mentor new and existing staff by promoting exceptional customer service, professionalism, accountability, and teamwork.
• Collaborate with providers, clinical staff, and administrative leadership to continuously improve patient access, communication, and operational excellence.
Preferred Qualifications
• Medical Assistant (MA), Licensed Practical Nurse (LPN), or Registered Nurse (RN)
• Dermatology experience strongly preferred
• Experience with Modernizing Medicine (ModMed EMA)
• Experience using Klara
• Excellent verbal and written communication skills
• Strong organizational and time management abilities
• Professional, mature, and compassionate demeanor
• Ability to multitask in a fast-paced environment while maintaining attention to detail
• Strong computer skills and comfort learning new technology
