About the Practice
We are building a premier multidisciplinary outpatient practice in North Andover, anchored in dermatology. Our environment is modern, polished, and designed around an exceptional patient experience from the moment someone first contacts us through the completion of their visit.
The Role
You are the face of the practice.
You will often be the first person patients see, hear, or communicate with, and you will help set the tone for their entire experience. This role combines outstanding front-desk service with the administrative coordination required to support a busy and growing medical practice.
We are looking for someone warm, polished, highly organized, and naturally proactive—someone who takes pride in making both patients and the practice feel exceptionally well cared for.
What You'll Do
- Greet and check in patients and own the front-of-house experience throughout their visit
- Manage phones, scheduling, confirmations, reschedules, and patient inquiries with warmth, professionalism, and efficiency
- Coordinate intake paperwork, insurance information capture, and visit preparation
- Manage referrals, records requests, and follow-up communications
- Maintain front-office, waiting, and patient-facing spaces to a polished, welcoming standard
- Support providers and clinical staff with administrative coordination throughout the day
- Manage supply ordering, mail, deliveries, and general office administration
- Assist with patient-facing communication related to aesthetics services, promotions, and follow-up
- Identify issues early and help keep daily operations moving smoothly as patient volume grows
What We're Looking For
Required
- 2+ years of administrative or front-desk experience in a healthcare outpatient or ambulatory setting
- Exceptional interpersonal skills—you are warm, attentive, composed, and professional with every patient
- Strong organization and follow-through; you take ownership of details and make sure nothing falls through the cracks
- Polished written and verbal communication
- Comfort with EHR and scheduling systems, multi-line phones, and day-to-day healthcare administration
Preferred
- Dermatology, aesthetics, med spa, or another high-end patient-experience environment
- Experience supporting a newly launched or rapidly growing practice
- Familiarity with insurance verification and front-end patient collections
